JOB DESCRIPTION – NIGHT AUDITOR
Position: Night Auditor
Department: Front Office
Reports To: Front Office Manager / Night Manager
Location: Shanti Maurice Resort & Spa
A. BASIC JOB FUNCTION
The Night Auditor is responsible for ensuring the smooth operation of the Front Office during the night shift while completing the hotel’s daily financial and operational closing procedures.
The role combines guest service, Front Office responsibilities and night audit functions, ensuring that all daily transactions are accurately recorded, reconciled and reported. The Night Auditor must maintain a professional five-star service standard while ensuring accuracy, confidentiality and security throughout the night.
B. AREAS OF RESPONSIBILITY
Front Office & Guest Service
- Welcome and assist guests during the night shift in accordance with the hotel’s service standards.
- Perform guest check-ins and check-outs when required.
- Respond promptly and professionally to guest enquiries, requests and complaints.
- Handle telephone calls and provide accurate information regarding hotel facilities and services.
- Coordinate with Security, Housekeeping, Engineering and other departments for overnight guest requirements.
- Ensure proper handover of important information, incidents and pending matters to the morning team.
- Maintain a professional appearance, attitude and conduct at all times.
Night Audit & Financial Control
- Perform the daily night audit and ensure the accurate closing of the hotel’s business day.
- Verify room charges, F&B postings, payments, adjustments, discounts and other transactions.
- Reconcile Front Office transactions and ensure that all charges have been correctly posted to guest accounts.
- Verify cash, credit card and other payment transactions against the relevant reports.
- Investigate discrepancies and report any irregularities to the appropriate Manager.
- Ensure that all supporting documentation is available and properly filed.
- Complete the end-of-day process within the Property Management System (PMS).
- Prepare and distribute daily night audit, revenue, occupancy and operational reports as required by Management.
- Ensure accurate transfer of financial information for Finance and Front Office follow-up.
Reservations & Guest Accounts
- Review guest accounts and ensure that billing instructions are correctly applied.
- Verify arrivals, departures, no-shows and room status information.
- Ensure correct application of room rates, packages, complimentary stays and approved discounts.
- Assist with reservations and amendments when required during the night shift.
- Identify unusual balances or billing discrepancies and escalate them appropriately.
Security & Overnight Operations
- Remain alert to any unusual activity or operational concern during the night.
- Immediately report emergencies, accidents, security incidents or suspicious activities.
- Work closely with the Security team to ensure the safety and security of guests, employees and hotel property.
- Follow established emergency, fire and evacuation procedures.
- Record all significant incidents occurring during the shift.
C. ADMINISTRATION & REPORTING
- Maintain accurate records of night operations and financial transactions.
- Complete the Night Auditor checklist and all required shift reports.
- Prepare a comprehensive handover for the morning Front Office team.
- Ensure confidentiality of guest, financial and company information.
- Report system issues, discrepancies and unresolved matters to the relevant Manager.
D. REQUIREMENTS
- Previous experience in Front Office, Night Audit or hotel operations, preferably within a four- or five-star hotel.
- Good understanding of hotel Front Office procedures and basic accounting principles.
- Experience with a Property Management System (PMS) is an advantage.
- Strong numerical ability and attention to detail.
- Good computer literacy and ability to work accurately with reports.
- Excellent communication and guest-service skills.
- Ability to work independently and make appropriate decisions during the night.
- High level of honesty, integrity, discretion and confidentiality.
- Ability and willingness to work night shifts, weekends and public holidays according to operational requirements.
E. GENERAL
- Attend training programmes, briefings and meetings as required.
- Comply with the hotel’s SOPs, policies, grooming standards and health and safety requirements.
- Promote teamwork and maintain effective communication with all departments.
- Perform any other reasonable duties assigned by Management within the scope of the position.
