HR Manager / Managing Director
Key Responsibilities
The responsibilities listed below are not exhaustive and may be amended according to the needs of the business.
1. HR Administration
- Ensure that all employee and personnel records are accurately updated and maintained.
- Prepare employment-related letters, memos and contracts of employment.
- Prepare and issue disciplinary letters, where applicable, in accordance with Company procedures.
- Follow up on probation reviews and ensure confirmation letters are issued in a timely manner.
- Maintain proper and confidential HR documentation and records.
- Provide administrative support for day-to-day HR activities.
2. Payroll Administration
- Carry out and process monthly payroll using EasySoft payroll software, ensuring accurate and timely processing in compliance with prevailing labour legislation and statutory requirements.
- Compile, verify and input all relevant payroll data, including overtime, meal allowances, salary increases, joiners, leavers and other payroll-related adjustments.
- Follow up on timesheets from various teams and ensure that they are complete, accurate and submitted within the required payroll deadlines.
- Verify attendance, leave, overtime and other payroll-related information prior to payroll processing.
- Process and manage employee leave applications and leave balances through EasySoft.
- Issue monthly payslips to employees.
- Maintain accurate payroll records and payroll reports.
- Prepare and submit monthly statutory returns within the required deadlines.
- Compile monthly HR reports, including absences, employee turnover, new recruits and other HR-related statistics.
3. Recruitment
- Maintain and regularly update the candidate pipeline and recruitment tracker.
- Prepare, review and amend job descriptions as and when required.
- Coordinate and schedule interviews with candidates and relevant management personnel.
- Assist in the recruitment and selection process, including candidate screening and follow-up.
- Coordinate the onboarding and documentation process for new employees.
- Assist with expatriate management, including Occupational Permit and Work Permit applications and related documentation.
4. General HR Support
- Provide support and assistance to employees and Management on Human Resources-related matters.
- Maintain confidentiality and ensure the proper handling of sensitive employee and HR information.
- Perform general HR administration and reporting to support the smooth running of business operations, legislative compliance and effective management decision-making.
- Assist with HR projects, audits and other initiatives as required.
- Perform any other duties and responsibilities as may reasonably be assigned by Management.
