Job Description
Purpose
The Facility & Maintenance Officer is responsible for the upkeep, efficient operation, and safety compliance of all facilities, equipment, and infrastructure within the organization. This includes performing hands-on maintenance work, coordinating with external contractors, and supporting smooth operations across internal and external spaces.
Key Responsibilities
1. Maintenance & Operations
Perform routine inspections of buildings, equipment, and infrastructure.
Conduct and coordinate minor repair tasks involving electrical, plumbing, and carpentry systems.
Ensure prompt resolution of maintenance requests and complaints from staff.
Maintain operational readiness of lighting, signage, HVAC controls, elevators, and other building systems.
Respond swiftly to faults or service calls to minimize downtime.
2. Facility Management
Oversee cleanliness, organization, and general upkeep of both internal and external premises.
Ensure functionality of essential utilities such as lighting, water supply, ventilation, and drainage.
Maintain and update inventory of tools, equipment, and maintenance supplies.
Assist with space planning, office moves, and event setups.
3. Contractor & Vendor Liaison
Coordinate and monitor third-party contractors for services including cleaning, pest control, landscaping, and repairs.
Provide access and support to contractors working on-site.
Verify and ensure completion of outsourced tasks in accordance with contracts and quality standards.
Assist in the procurement of facility-related materials and services.
4. Health, Safety & Compliance
Conduct regular safety checks and report hazards or risks.
Ensure compliance with fire safety, building regulations, and occupational health standards.
Participate in and support safety drills and emergency preparedness exercises.
5. Administrative & Logistical Support
Maintain detailed records of maintenance schedules, repairs, incidents, and inspections.
Monitor utility usage and report inefficiencies or abnormalities.
Support logistical coordination for operational needs and facility upgrades.
Job Requirements
Diploma in Facility Management or Technical Certificate in Electrical/Mechanical/Building Services Engineering or a related field.
Minimum of 3 years' experience in building maintenance, facility operations, or similar roles.
Strong working knowledge of building systems: electrical, plumbing, HVAC, and fire safety.
Proven ability to troubleshoot and repair infrastructure and equipment.
Strong problem-solving skills with the ability to manage multiple priorities.
High attention to detail and commitment to safety standards.
Excellent communication and teamwork skills.
Physical ability to carry out hands-on maintenance tasks, including lifting and climbing.
