DUTIES AND RESPOSIBILITIES:

  • Be aware of the Food & Beverage policies and procedures and ensure compliance by all employees of  F&B Department.
  • Responsible for the administrative responsibilities within the Food & Beverage department, including but not limited to writing memos, letters, reports, requsitions.
  • Take inventory of stock and maintain records of purchase and sales for the smooth running of the operations and assist in event planning.
  • Type event menus as prepared by the Kitchen Chef.
  • Provide administrative  support for the preparation of department meetings including the preparation of agendas, distribution of papers, minute taking, and follow up action on matters arising from meetings to enhance the effectiveness of those meetings.
  • Update attendance of staff.
  • Focus on quality and contribute to Casela profitability through effective cost controls.
  • Ensure that all group enquiries attended and relevant follow up are done.
  • Attend daily events briefing providing accurate updates on details of bookings and enquiries.
  • Provide quotes by adhering to set guidelines.
  • Ensure proper communication to all department concerned (reservation, F&B, Operations...etc) through the function sheet.
  • Build update and consolidate a client database.
  • Conduct site inspection with client prior to the event as required.
  • Keep track of events finance including invoices and reporting.
  • Provide all requested credit information to Finance department and to client including credit policy, receipt of signed contract and deposit.
  • Perform any other cognate duties as may be assigned to you by Management.

CANDIDATE'S PROFILE:

QUALIFICATIONS REQUIRED:
  • Holds at least a Higher School Certificate or equivalent relevant qualifications.
  • Have at least two years of relevant experience in the hospitality field.

REQUIRED SKILLS:
    • Well conversant with Microsoft Excel, Outlook and Word.
    • Strong knowledge in administration and Events Management in the hospitality industry.
    • Excellent written and verbal communication skills.
    • Strong organisational skills
    • Self-starter with an outgoing personality and luxury attitude
    • Should be methodical and process oriented.
    • Internal and Extrernal client service orientation.
    • Be proactive, detailed- oriented and organized.
    • Outgoing personality.
    • Able to work flexible hours.
