Job Description
The Warehouse Control Officer leads and oversees
the warehouse control function, ensuring accurate inbound verification, barcode
compliance, inventory audits, and operational documentation. This role
supervises a team of control officers, ensures timely reporting to management,
drives root-cause analysis of discrepancies, and enforces accountability across
warehouse operations. The position also supports continuous improvement and
cost control initiatives to safeguard company assets and optimise efficiency.
1. Supervision of Container Unloading &
Reconciliation
·
Supervise and validate container unloading,
ensuring officers reconcile shipments against purchase orders and invoices.
·
Review daily reconciliation reports and approve
escalation of discrepancies to Procurement and Finance.
·
Ensure unloading operations are completed within
set timelines and without variance.
2. Oversight of Barcode Management & Product
Identification
·
Ensure all officers check and affix barcodes
accurately during unloading.
·
Validate barcode records and system alignment.
·
Enforce corrective actions where barcode
mismatches are identified.
3. Comprehensive Inventory Oversight
·
Supervise rolling monthly inventory counts
across all locations.
·
Review variance reports prepared by officers,
confirm validity, and escalate unresolved cases.
·
Drive accountability for variance explanations
from warehouse teams.
4. High-Value Item Audit Supervision
·
Oversee weekly random audits of
high-value/fast-moving stock.
·
Validate anomaly reports and ensure escalation
to senior management.
·
Implement preventive measures to reduce
irregularities.
5. Goods Returns Verification & Escalation
·
Supervise return reconciliations and ensure
timelines are met.
·
Monitor return logs and investigate unlogged or
repeated discrepancies.
·
Prepare summary reports for management.
6. Discrepancy Root-Cause Analysis & Accountability
·
Lead root-cause analysis on variances identified
by officers.
·
Ensure findings include clear accountability and
corrective measures.
·
Report major or recurring irregularities
directly to management.
7. Compliance Monitoring & Barcode Label Checks
·
Supervise daily barcode compliance checks.
·
Ensure documentation of all compliance
irregularities.
·
Enforce corrective actions for non-compliant
practices.
8. Documentation, Archiving & Reporting
·
Ensure photographic and document evidence is
consistently archived.
·
Validate officers' documentation (delivery
notes, picking slips, etc.).
·
Submit consolidated compliance reports to senior
management.
9. Monthly Compliance Review & Control Effectiveness
·
Conduct monthly reviews of warehouse controls,
reporting on effectiveness and gaps.
·
Identify poor performers and escalate recurring
issues to HR for corrective action.
·
Recommend process improvements to strengthen
controls.
10. Cost Control and Efficiency
·
Monitor control-related costs such as demurrage,
write-offs, and error-related overtime.
·
Recommend measures to reduce financial losses
caused by control lapses.
·
Ensure budgeted overtime and cost thresholds are
respected.
11. Other Duties
·
Perform any other cognate duties within the
scope of responsibilities.
