Job Description
The Asset &
Maintenance Supervisor is responsible for overseeing the management,
maintenance, and lifecycle of the Company's fixed assets ensuring that all
facilities, showrooms, warehouses, and supporting infrastructure are maintained
in a safe, functional, and cost-effective manner. The role also ensures
compliance with statutory certification requirements, manages maintenance
contractors, and supports capital expenditure planning.
1. Asset Management
- Maintain
and update the Company's fixed asset register for all non-IT and non-fleet
assets, including machinery, equipment, furniture, fixtures, and building
infrastructure.
- Monitor
the condition and utilization of assets and recommend repairs,
replacements, or disposals where necessary.
- Conduct
periodic asset verification and reconciliation exercises.
- Ensure proper documentation and records for all assets.
2. Building & Facility Maintenance
- Coordinate
preventive and corrective maintenance activities across all showrooms,
warehouses, offices, and other Company facilities.
- Develop
and implement preventive maintenance schedules to minimize downtime and
extend asset lifespan.
- Conduct
routine inspections to identify maintenance requirements and safety
concerns.
- Ensure
maintenance works are completed within agreed timelines and quality
standards.
3. Contractor & Vendor Management
- Source,
evaluate, and coordinate external service providers, including
electricians, plumbers, HVAC technicians, mechanics, carpenters, and
general contractors.
- Obtain
quotations and negotiate pricing while ensuring value for money.
- Monitor
contractor performance and ensure compliance with contractual obligations
and Company standards.
- Verify
work completion prior to processing invoices.
4. Budget & Cost Control
- Assist
in preparing the annual maintenance operating budget and capital
expenditure (CAPEX) budget.
- Monitor
maintenance expenditure to ensure adherence to approved budgets.
- Recommend
cost-saving initiatives without compromising operational efficiency or
safety.
5. Compliance & Certification
- Coordinate
statutory inspections and renewals for building- and equipment-related
certifications, including fire certificates, dormitory certificates, and
other regulatory approvals.
- Ensure
facilities comply with applicable health, safety, and regulatory
requirements.
- Maintain
records of all certifications, inspections, and compliance documentation.
6. Insurance Administration
- Coordinate
insurance matters relating to buildings, equipment, and fixed assets.
- Report
incidents requiring insurance claims and liaise with insurers, assessors,
and service providers.
- Maintain
records of insurance policies and renewal schedules.
7. Team Supervision
- Supervise
and coordinate the daily activities of maintenance personnel.
- Allocate
work, monitor performance, and ensure timely completion of maintenance
tasks.
- Provide
guidance, coaching, and support to team members to maintain service
standards.
8. Reporting
- Prepare
regular reports on maintenance activities, asset condition, budget
utilization, contractor performance, and compliance status.
- Highlight
operational risks and recommend improvement initiatives to management.
- Perform
any other duties assigned by Management that are within the scope of the
role.
Qualifications
& Skills
·
Diploma or Bachelor's Degree in Facilities
Management, Mechanical Engineering, Electrical Engineering, Building Services,
Property Management, Operations Management, or a related field.
·
Professional certification in Facilities
Management, Occupational Health & Safety, or Project Management will be an
advantage.
Experience
·
Minimum 5 years' experience in facilities
management, building maintenance, asset management, or property operations.
·
At least 2 years in a supervisory or team
leadership role.
·
Experience managing preventive maintenance
programmes, contractors, and maintenance budgets.
·
Previous experience within the retail,
hospitality, logistics, manufacturing, or commercial property sectors will be
an advantage.

Proficient in Microsoft Office (Excel,
Word, Outlook); experience with maintenance or asset management systems is an
