Job Description

Inventory Management & Stock Control

  • Monitoring Stock Levels: Continuously track the quantities of critical spare parts, consumable items (like nuts, bolts, and lubricants), and tools.
  • Establishing Stock Thresholds: Work alongside maintenance managers to define minimum, maximum, and reorder stock levels for regular maintenance items to prevent shortages during breakdown emergencies.
  • Initiating Requisitions: Prepare and submit purchase requisitions to replenish stock as levels approach minimum limits.
  • Stock Rotation & Preservation: Implement inventory methods such as First-In, First-Out (FIFO) for perishable maintenance items like adhesives, batteries, and chemical agents to minimize waste.

2. Receiving and Inspecting Goods

  • Verifying Deliveries: Accept incoming deliveries of technical parts and equipment, cross-referencing items against purchase orders, delivery notes, and invoices.
  • Quality & Specification Inspection: Inspect engineering parts for any damage, structural faults, or deviations from the required technical specifications.
  • Handling Discrepancies: Document and communicate errors, shortages, or damaged components immediately to procurement, suppliers, or accounting for reimbursement.

3. Storage, Organization, and Tool Tracking

  • Systematic Shelving: Label, categorize, and store technical items in designated bins or location codes so technicians can locate parts quickly during critical repairs.
  • Tool Crib Management: Maintain a secure tool checkout system. Track who borrows specialized maintenance machinery, diagnostic devices, and hand tools to ensure they are returned in good condition.
  • Chemical and Hazardous Material Control: Safeguard hazardous substances (fuels, gases, industrial lubricants) in compliance with safety standards and regulatory frameworks.

4. Material Issuance and Documentation

  • Processing Requisitions: Issue spare parts and tools strictly against authorized maintenance work orders, material lists, or digital indents.
  • Digital Record Keeping: Log all stock movements (receipts, temporary tool checkouts, and permanent withdrawals) into the company’s computerized maintenance management system (CMMS) or Enterprise Resource Planning (ERP) platform.
  • Tracking Scrap and Returns: Receive unused parts back from completed maintenance jobs and log broken or scrapped parts for proper disposal.

5. Auditing and Quality Control

  • Cycle Counting & Physical Verification: Conduct regular, periodic physical inventory counts to ensure book balances or digital logs align with the physical items on the shelves.
  • Identifying Obsolete Stock: Scan the stockrooms for obsolete, slow-moving, or depreciating parts (e.g., spares for decommissioned machinery) and coordinate their disposal or return according to company policy

6. Maintenance and Housekeeping of the Store

  • Cleanliness & Safety: Maintain the stores and warehouses in a highly organized, safe, and clutter-free condition to prevent slip-and-trip hazards.
  • Asset Care: Perform basic preventative maintenance or servicing on tools and store equipment (such as sharpening blades, oiling hinges, or scheduling calibrations).
