Provide administrative and operational support to the Procurement & Logistics function, assisting in the full procurement cycle while ensuring accuracy, compliance, and timely execution of tasks.

 

Job Purpose
Provide administrative and operational support to the Procurement & Logistics function, assisting in the full procurement cycle while ensuring accuracy, compliance, and timely execution of tasks. The role supports daily procurement operations and coordination across departments, reporting to the Senior Procurement Manager or designated supervisor.


Key Responsibilities

Procurement Support

  • Prepare and issue purchase orders, RFQs, and related procurement documents.

  • Track and monitor order status to ensure timely delivery.

  • Send Shipping Instructions and follow up on supplier acknowledgements.

  • Assist with supplier sourcing, communication, and order management.

  • Maintain updated records of suppliers, pricing, product details, and performance.

Coordination & Documentation

  • Work with the Logistics team to verify shipping documents (packing lists, invoices, BLs, etc.).

  • Coordinate with Finance, Stores, Sales, and other departments for smooth transaction processing.

  • Support the preparation of sales orders, purchase orders, stock/pricing analyses, and costing sheets.

Administrative & Reporting

  • Maintain proper filing and archiving of procurement documentation.

  • Prepare procurement reports, tracking sheets, and supplier performance updates.

  • Assist in implementing procurement systems/ERP modules.

  • Ensure adherence to internal procurement policies and procedures.

  • Perform additional administrative duties as assigned.


Qualifications & Experience

Qualifications

  • Minimum Higher School Certificate (HSC) or equivalent.

  • Studies in Procurement, Supply Chain, or related fields are an advantage.

Experience

  • 1–2 years’ experience in procurement, logistics, or shipping preferred.

  • Exposure to ERP or procurement systems is an asset.

Skills & Attributes

  • Proficient in Microsoft Office (Excel, Word, Outlook).

  • Strong communication skills, written and verbal.

  • Organised, detail-oriented, and able to manage multiple tasks.

  • Good numerical and analytical skills.

  • Team player with a positive attitude; able to meet tight deadlines.

  • Professional, disciplined, and reliable work ethic.
