Our client, an Energy Service Company with an operational focus in Africa who provide reliable, clean and renewable on-grid and off grid power delivery solutions is looking for a Payroll Officer.

Reporting to the Financial Controller and the HR Manager, the successful candidate will be responsible to assist in the timely preparation of payroll related data, statistics, and other reports for the Human Resource Department and ensure compliance of payroll related matters. In addition to payroll accountabilities, the Payroll Officer will also support the Human Resources and Finance Departments on projects that are related to Payroll and Human Resources.

Main responsibilities:

Payroll Design and Project Management

  • Develop in conjunction with the Finance and Human Resources team to develop a Time and Attendance process and link it with the ERP requirements for Payroll.
  • Develop with the ERP provider, a payroll system that reflects the local legal and compliance needs with a view to create an efficient payroll system.
  • Perform any other Payroll or HR Related projects as may be required.

Perform Payroll Accountabilities

  • Support with the capturing and reviewing of Time and Attendance data as may be required by payroll.
  • End to end processing of selected (weekly, fortnightly and monthly) payroll(s).
    • Process and issue employee payslips and statements of earnings and deductions.
    • Compute wages and deductions, and enter data into computers.
    • Review time sheets, work charts, wage computation, and other information to detect and reconcile payroll discrepancies.
    • Compile employee time, production, and payroll data from time sheets and other records.
    • Process paperwork for new employees and enter employee information into the payroll system.
    • Verify attendance, hours worked, and pay adjustments, and post information onto designated records.
    • Record employee information, such as exemptions, transfers, and resignations, to maintain and update payroll records.
    • Issue and record adjustments to pay related to previous errors or retroactive increases.
    • Keep track of leave time, such as annual, injury and sick leave, for employees. Prepare any administrative paperwork with the Social Security and other relevant departments for any additional payments where applicable.
    • Provide information to employees and managers on payroll matters, tax issues, benefit plans, and collective agreement provisions.
    • Conduct verifications of employment.
    • Distribute and collect timesheet of each fortnightly pay period.
    • Keep informed about changes in tax and deduction laws that apply to the payroll process.
    • Balance cash and payroll accounts.
    • Complete, verify, and process forms and documentation for administration of benefits such as pension plans, and unemployment and medical insurance.
    • Review time sheets showing employees' arrival and departure times. Flag any issue on timesheets where applicable.
    • Prepare and balance period-end reports, and reconcile issued payrolls to bank statements.
    • Compile statistical reports, statements, and summaries related to pay and benefits accounts, and submit them to appropriate departments.
    • Train related employees such as Storekeeper/Timekeeper and/or Line Managers on timekeeping systems.
    • On-going maintenance of payroll system and leave planning system (if applicable).
    • Updating and maintaining payroll records.
    • Liaising with staff and management on payroll related queries.
    • Maintaining leave, sickness and overtime reports.
    • Interpreting awards/agreements and contracts in relation to overtime, shift allowances etc.
    • Undertaking required reporting, both internal and statutory reporting.
    • Payroll administration – filing, setting up new starters.
    • Calculation and payment of termination payments.
    • Processing increases and calculation of back pays.

Other Responsibilities

  • Assisting with month end consolidation.
  • Assisting with reconciliation and payment of payroll and tax.
  • Reconciling payroll related GL accounts.
  • Calculating annual leave and SL provisions/accrual annually
  • Submit workforce analytics as requested by the Human Resources team
  • Roll out any projects as the Finance and/or Human Resources department(s) as may be required by
  • Management
  • Any other ad hoc duties as may be assigned by Management

Candidate profile:

  • At least 3 years’ experience being responsible for end to end payroll process in Mauritius; desirable if is doing it independently without any superiors review.
  • Experience in the construction industry would be beneficial.
  • Experience in process development within payroll in view of ISO or similar certification.
  • Experience of End to End Payroll
  • Successfully manage projects specially in executing and interfacing with suppliers/clients
  • Keen to continuously learn, develop and improve professionally and personally
  • Willing to work long hours alongside the Controller where needed and take initiative to head off issues before these arise.
  • Ability to meet strict deadlines and work under pressure
  • Previous experience with an ERP system would be advantageous
  • Working knowledge of the full Microsoft Office suite (Word, Excel, Power Point) to at least intermediate / advance stage
