Our client, an international outsourcing and offshore Company is looking for a Bid / Admin Assistant.
Working closely with the Bid Director, the Bid Support Assistant will be a key member of the bid team.
Main responsibilities:
- Assisting with production of bid documents and arrangements to submit these documents to the customer within defined tender deadlines via tender portals, email or hard copy.
- Ensuring bid and proposal MS Word and Powerpoint documentation is formatted, collated and presented in a professional manner and in line with brand guidelines.
- Organising Bid Team Kick Off meetings and other meetings during the bid cycle ensuring that respective agendas, attendance list’s and action trackers are up to date.
- Maintaining generic proposals, working with the Bid Director to ensure they are reviewed and revised as necessary.
- Maintaining an up to date bid library of key content, generating collateral and writing case studies for all services and campaigns to ensure they are ready to support bid responses.
- Management of the online document database, including creating, amending and logging of documents and folders.
Qualification:
- HSC
- Previous experience of providing administrative support, ideally in a sales and marketing or commercial environment.
Candidate profile:
- Computer literate and proficient/advanced knowledge in the use of MS software particularly Word, Powerpoint, Excel and Outlook.
- Ability to prioritise workloads based on deadlines and urgency.
- Ability to communicate with all members of Bid and Senior Management Teams, both written and orally.
- High degree of organisation, attention to detail and administrative skills.
- Self-motivated with the ability to take the initiative.
- Team player who is capable and calm under pressure.
