The Back Office Coordinator (BOC) is responsible for processing all Back Office work in accordance with the Standard Operating Procedures and adherence to all other policies and processes....

 

RESPONSIBILITIES

  • Check history of case files and flag all potential Recoveries - NM will flag examples on cases not flagged by Claims team
  • Refer cases without docs to Martin Pelosi weekly
  • Request Scanning team to rescan docs if same are not readable
  • Email VPO team to convert docs from PDF format to JPG format
  • Change group code on cases received
  • Create reserve with estimated amount to be recovered
  • Check PR details and update if necessary
  • Update Cigna/Cega spreadsheet for cover confirmation and send over to Team Leader weekly
  • Check and Work out unreferenced emails by calling the provider and looking for the case reference to forward email to the correct case
  • Send Recovery letter to Provider and seek contribution on cases settled by applying ABI Agreement and Montreal Convention rues while processing a case
  • Chase provider twice within 6 months if no response received
  • Call Provider if there is still no response after 6 months
  • For Airline Recovery after call back but there is still no outcome, enter Blake Lapthorn Step
  • Blake Lapthorn Report received from Client, to email specific case documents directly to BL team and to ensure that they have received the documents for them to take over
  • Update Bank Transfer/ Cheques received from Provider i.e contribution amount
  • Close case if contribution amount received is fair
  • Send Dispute letter if contribution amount is not fair 
  • Keep on chasing by calling the Provider until fair contribution amount is received

 


COMPETENCIES
o SC/HSC
o Good level of spoken and written English
o Computer literate with a good level of typing skills
o An excellent communicator, capable of influencing and asserting opinion at all levels.
o Ability to demonstrate a highly professional work ethic.
