Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field's concepts, practices and procedures. Ability to effectively communicate via phone and email.
RESPONSIBILITIES:
- Greeting and directing visitors.
- Preparing documents for meetings.
- Answering and directing phone calls to relevant personnel.
- Screening and forwarding of incoming mails.
- Update contact details on system.
- Schedule of meetings, organising events and conferences.
- Travelling (arrange and book tickets, visa, travel insurance, hotel booking).
- Filing (Soft & Hard).
- Update Acts, Guidelines on the server & in hard.
- Update Project List regularly.
- Daily Back-Ups & Archiving
- Directors / Admin Dept Library Management.
- Access Control.
- Organise Despatch.
- Entry in visitor’s book for new Visitors.
- Time sheet update on the server.
- Maintenance of Driver’s Schedule, and timing.
- Boardroom: Cleaning, to verify Ac and Electricity on and off.
- Letter Box: Entrance of letters in internal record books
- Organise Car servicing / Preparing PO.
- Maintenance of Equipment.
- Stock Control / Preparing PO.
- Serving of Tea / Coffee to Visitors.
- Submit and reconcile expense reports
- Any other cognate duties that may be assigned to you
REQUIREMENTS:
- Proficiency in MS Office, Office 365, with exceptional
knowledge of Excel /PowerPoint and word.
- Typing skill .
- Knowledge of project and task management tools such as
Basecamp/ Microsoft team / zoom & others.
- Excellent written and verbal communication skills – Both
English and French.
- Good at time management.
- At least 5 years of experience in the field or in a related
area.
