Key Responsibilities
- Operate the telephone switchboard to answer, screen, and forward calls professionally.
- Take accurate messages and ensure timely delivery to the appropriate personnel.
- Greet and assist visitors courteously, providing accurate information and guidance.
- Direct visitors to the appropriate staff or department.
- Control and monitor visitor access, especially outside designated visiting hours.
- Address and resolve basic inquiries or complaints from customers and the public.
- Escalate complex issues to the appropriate department or supervisor as needed.
- Maintain a calm and professional demeanor in all interactions.
- Ensure the reception area and waiting lounge are clean, organized, and presentable at all times.
- Maintain safe custody of sensitive documents and correspondence.
- Assist with patient admissions and coordinate with the Invoicing Team for system registration and pre-admission processing.
- Perform other related duties as assigned by the Supervisor or Management.
Qualifications and Experience
- Minimum Higher School Certificate (HSC) or equivalent.
- At least 2 years of experience in a similar front-desk or telephony role.
- Proficiency in operating computerized systems and office equipment.
- Excellent verbal communication and interpersonal skills.
- Strong sense of customer service and hospitality.
- Ability to multitask and manage time effectively.
- Professional appearance and demeanor.
- Discretion and confidentiality in handling sensitive information.
