Responsible for all hotel operations during overnight shift hours and focusing on Front Office Operations and hotel/ safety and security.
What you’ll do:
- Manage and monitor activities of all employees in the Front Office department and making sure that they adhere to the standards of excellence and to the guidelines set in the employee handbook, hotel policies and procedures, coaching, training and correcting where needed
- Maintain a professional and high-quality service oriented environment at all times
- Required to welcome guests to the hotel in friendly and helpful manner, ensure that the public areas are kept tidy and clean
- Occasionally assist guests with their luggage, be a point of contact for our guests, and to ensure all met during the guests stay
- Responsible for the hotel in the absence of the General Manager, Assistant Executive Manager, Duty Manager & Front Office Manager dealing with complaints, problem solving, disturbances, special requests and any other issue that may arise
- Manage the night shift in the department ensuring all employees perform the tasks assigned to them and coordinate Front Office activities with other department
- Inform all overnight staff on nightly activities, group and VIP arrivals as well as special requests and repeaters guests.
- Check accommodations, making sure any special request are carried our accordingly, greet guests upon arrival and ensure escort to accommodations if appropriate
- Must actively participate in the decision-making process on guest relocations for nights when over capacity, execute accordingly and ensure a smooth relocation process. This must be coordinated with Front Office Manager and/ or Manager on duty prior to shift start
- Ensure that accurate completion of the daily night audit in a timely fashion. Must be able to perform the full night audit if needed.
- Assist the Front Office Manager in implementing and enforcing financial controls throughout the department, helping with control of operating expenses, scheduling and purchasing
- Work closely with the Housekeeping department to improve guest's services and foster cross departmental communication
- Be aware and able to enforce all fire life safety procedures. Remain current in all updates with regards to new procedures and training. Ensure staff is fully trained in Emergency procedures. This position is a member of the hotel’s Emergency response team
- Report any suspicious persons, activities and/ or hazardous conditions to the security department and/ or the Front Office Manager
- Verify and ensure the accuracy of all billing transactions posted in Opera PMS.
- Review and reconcile daily revenue, adjustments, and departmental postings.
- Supervise or complete the night audit, ensuring proper balancing of financial data and resolution of discrepancies.
- Ensure compliance with hotel billing procedures and financial control standards.
- Ensure full compliance with the hotel’s Health & Safety, Fire Safety, and Security policies.
- Conduct scheduled and unscheduled property walkthroughs to identify hazards, unsafe conditions, or maintenance issues.
- Respond promptly and effectively to emergencies, alarms, accidents, medical incidents, and security situations.
What We’re Looking For:
- Diploma in Hotel Management
- Previous Front Office Experience in Supervisory/ Management position preferred
- Excellent telephone manner and customer service skills, attention to detail
- Knowledge of Microsoft Office (particularly Outlook, Work, Excel and PowerPoint)
- Knowledge of safety, security, and emergency procedures.
- Competence with property management systems (PMS), night audit tools, and basic financial processes.
