RESPONSIBILITIES & DUTIES
 Manages and maintains database for the quality system and prepares/assists in preparation of annual reports and quality trending reports
 Responsible for providing administrative support to Head of Academics or any other person appointed by the Head of Academic.
 Produce and develop Student Welcome Packs.
 Inform the students about classroom schedule, Exam , extracurricular activities or any other events in the premises
 Assist students in the Orientation and Induction Programmes
 Provide students with Educational Support Materials on their first day
 To prepare attendance sheets, time tables and exam time tables
 Deal with day-to-day queries, lateness, absences and Complaints
 Convene Committee meetings
 Set up and co-ordinate Programme Approval Committee teams to consider programme applications.
 Prepare agendas and reports for meetings.
 Document meetings and action decisions made as required.
 Maintain records of faculty delegated course approvals, and liaise with faculty members
 Maintain complete records of programme and Students files
 Provide administrative support for the Head of Academics
 Filing of records, minutes and documents
 Disseminate Institute policies
 Update information on the Academic Division, website relating to Academic matters
 The Directors reserve the right to request other duties to carry out by the Academic Administrative assistant within the scope of his/her capabilities, as and when required.
EXPERIENCE & QUALIFICATION
ï¶ Minimum HSC
ï¶ Administration skills and experience
ï¶ Experience in a tertiary education environment
PERSONAL QUALITIES & BEHAVIOURAL TRAITS
ï¶ Excellent interpersonal communication skills
ï¶ A high level of written communication skills in relation to corresponding with statutory bodies, managers and academic staff
ï¶ Ability to work independently, while also working as part of a team
ï¶ Competent in the use of computing packages, particularly MS office, email and database
ï¶ Ability to document accurate and succinct records of meetings
ï¶ Commitment to maintain appropriate levels of confidentiality
