The Travel and Security officer is the point of contact of travellers and has the mission to implement and maintain the different safety protocols.

 

RESPONSIBILITIES

  • Implementing the Safety Policy and sensitising the personnel on international risks

  • Communicating the alerts for each country where BIA employees are present

  • Analysing risks level in the countries and regularly communicating with QHSE Manager of the group

  • Regularly contacting the HSE Regional Managers to analyse the evolution of countries under alert

  • Preparing and communicating the prevention rules and regulations

  • Carrying out mock exercise of safety protocols.

  • Proposing and implementing areas for improvements identified during the mock exercise

  • Testing satellite phones at defined frequency and ensuring proper use of the phone

  • Keeping up to date the surveillance records and the expat database

  • Processing the different « Travel request » in database

  • Establishing a database of hospitals and emergency numbers for the different countries and of hotels proposed by the Safety department and regularly be informed on their safety level.

  • In medium and high risks countries, making travel recommendations, contacting travellers and give appropriate preventive instructions  

  • Keeping up to date the Safety page on SharePoint

  • Handling travel requests 

  • Managing the flights and trains booking

  • Keeping the database of the travellers up to date in consultation with traveller/s, N+1, HR and finance

  • Managing hotels, cars and taxis booking

  • Keeping an updated list of all documents necessary to get visas

  • Informing the collaborators about embassies to contact for visas

  • Keeping copies of the vaccination book and visas of each traveller (database)

  • Keeping copies of tickets (including changes and cancellation) and database of travels

  • Controlling and encoding invoices

 

EDUCATION & EXPERIENCE

  • At least 2 years’ experience in a travel agency. Experience with African traffic is a must.

  • Experience in travel safety

  • Experience with Amadeus

  • Experience of SAP

  • Fluent in French and English
