Supports the Human Resources team in the day to day tasks. A knowledge of Sicorax HR/Payroll is a MUST.

 

KEY RESPONSIBILITIES

• Maintenance of filing system in accordance with the Record Retention policy.
• Preparation of special reports or projects, as requested.
• Attend all required meetings.
• Knowledge of and compliance with all Emergency. procedures. Reports unsafe conditions, as appropriate.
• Maintain a professional and friendly relationship with other departments, team members and guests.
• Maintain work area in a neat and orderly fashion.
• Other duties as assigned by the management.
• Support the Human Resources Department in answering questions from Team Members and dealing with other communication towards employees.
• Support the Senior Human Resources in the HR administrative tasks, such as keep the files of current employees updated, handling incoming calls, faxes or mails, preparing the administrative work for Team Members of the month and birthday calendar.
• Report all relevant facts/developments to the Human Resources Manager.
• Oversee day-to-day task such as internal and external correspondences and e-mails i.e. recruitment agencies and applicants.
• Prepare letters, correspondences & certificates for team members’ request as well as a part of administrative task.
• Keep employees well informed about all changes in the hotel, or at least make sure that their department heads are informed in introducing regular reviews, team meetings, etc.
• Follow-up in status of sports and social activities as well as training with concerned committees and individuals.
• Ensure efficient cooperation between all departments for other related administrative duties and responsibilities.
• Ensure all team members personal files are updated with complete and proper documentation i.e. pulse check, change of status, disciplinary letters, etc.
• Comply with Hotel standards in relation to hygiene and personal presentation.
• Respond to all team members’ queries efficiently.
• To ensure the well-being of all team members.
• To deal with any complaints as they occur, ensuring they are resolved expeditiously and that the relevant department/head of department is advised and informed of the situation.
• Other day to day assigned task that needs to be reciprocated.
• Perform any other duties that the hotel management may request from time to time.
• Assist in the preparation of HR monthly reports and coordinates with various departments for the prompt submission of departmental training reports.
• Ensure all employee files are updated with appropriate correspondence e.g. Change of Status, Disciplinary letters, etc.
• Follow-up on status of sports and social activities.
• Maintain the general notice-boards by updating all relevant general information for Ambassadors.
• To motivate colleagues and create a team environment.
• To ensure compliance with all company policies and procedures by all team members.
• To ensure grooming within the department is in line with SO Sofitel policy.
• To ensure the well being of all team members.
• To deal with any complaints as they occur, ensuring they are resolved expeditiously and that the relevant department/head of department is advised and informed of the situation.
• Ensure that all our Employee Files are legally compliant and audited on a quarterly basis.
• Co-ordinate and implement various social/reward and recognition events.
• To maintain Human Resources systems/databases as appropriate.
• To ensure that all our Notice-Boards are kept up to date.
• Process Payroll (Sicorax) for the location assigned. Communicates with centralized payroll representatives, managers and employees in regards to payroll.
• Provide administrative assistance such as filing paperwork, copy and distribute disciplinary action notices, breakdown, sort and deliver PAF’s making new hire and termination files, copy and send exempt reviews to employee files, managers and department heads. Maintain department and personnel files.
• Control locker assignments by maintaining written records of locker numbers and combination. Requests in writing and discuss verbally repairs and key duplications for lockers as needed.
• Prepare ID cards, name tags, punch cards as necessary.
• Manually open then visually examine mail in order to sort and direct mail.
• Assist terminated employees in exiting process by visually examining exit check list to ensure correctness, and visually offering exit interview form.
• Ensure that sufficient numbers of forms and proper level of supply are maintained in the Human Resource Office.
• Any other tasks assigned by the Human Resources Manager
