Adecco is an International HR and Consultancy firm. Our client, a global advisory and administration firm, is looking for an Administrator to join the New Business Take On team.

 

Our client, a global advisory and administration firm, is looking for an Administrator to join the New Business Take On team.

The successful candidate will deal with the day-to-day duties of client New Business Take On services for existing and prospective clients across the Company’s offices that are assigned to them from the Business Development Team.

 
Main responsibilities:

  • Participate at client meetings and understand the client requirements.
  • Liaise with clients and provide guidance related to client onboarding forms and KYC requirements and ensure follow up is made for timely submission of the documents and that documents are in conformity with the AML/CFT requirements.
  • Liaise with Compliance team with regards due diligence exercise on clients and other stakeholders involved in the proposed structure.
  • Liaise with legal advisors, tax advisors, banks and intermediaries as the case may be.
  • Perform data entry and filing of relevant forms and returns to the Registrar of Companies (using CBRIS platform) and filing of application with the Financial Services Commission as may be required;
  • Respond to queries from regulators with respect to applications lodged;
  • Lodge bank account opening forms on behalf of client entities and individuals;
  • Lodge applications for occupational permit and residence permit as the case may be.
  • Update Job Stream with client entity and contact particulars and ensure initial risk assessment and sign off is performed on the system in accordance with prevailing guidelines.
  • Set up / Register client matter on Aderant.
  • Order Corporate seals on behalf of clients.
  • Ensure client billing and monitoring of debtors for NBTO team is done on a timely basis.
  • Attend to client First Board Meeting and/or Trustee meeting.
  • Ensure that client files are organized and complete (all LOE, Management Agreements and other contracts with the Company is signed off)
  • Hand over the client entity file to operations Teams.
  • Assist other team members and review their work where appropriate and when requested by the Team Leader.
  • Carry out on a timely basis all administrative tasks assigned by the Team Leader and Senior Manager.
  • Apply standard procedures to facilitate the rendering of quality services to clients in a consistent, effective and efficient manner and exercising quality control to ensure that all documents and reports conform to set standards.
  • Record all time spent accurately to facilitate invoicing and internal reporting.
  • Assist with various analysis and special projects as required.
  • Contribute to the achievement of the team’s Key Performance indicators.
  • Assist in drafting in information/marketing materials with respect to structures and licensing requirements.
  • Identify and contribute to the mitigation of risks.
  • Additional duties may be assigned from time to time as required.

Responsibility for Risk Management:

  • Responsibility for implementing and maintaining controls relevant to the position.

Qualification:

  • Have a Bcom degree. Partly qualified ICSA qualification would be an advantage, or working towards a recognised professional qualification.
  • Have at least 1-3 years’ experience in corporate administration, ideally in the professional or financial services business.

Candidate profile:

  • Be computer literate with strong knowledge of MS Office, in particular MS Excel, MS Word and MS Visio.
  • Experience of Job stream and/or Laserfiche would be an advantage.
  • Be fluent in English and have strong writing skills in English language.
  • Have extensive experience in administration and setting up of corporate structures including funds.
  • Be a self-starter with good organisational, communication and interpersonal skills.
  • Be Pro-active, motivated and flexible.
