Adecco is an International HR and Consultancy firm. Our client, an NGO, is looking for an Administrative Officer.
Reporting to the Managing Director, the successful candidate will be responsible for providing administrative and secretarial support to the Managing Director. He/She will be responsible for the smooth operation of day-to-day administrative work.
Main Responsibilities:
- Perform administrative and secretarial duties such as:
(i) Writing of letters, minutes of meeting, reports and other important documents.
(ii) Maintain a structured and systematic filing system for all documentation and records
(iii) Controlling access to confidential/ sensible data as per data protection regulations.
(iv) Communication of policies and regulations of the Organisations with staff at lower levels.
(v) Manage stocks, including consumables (e.g. stationery), donations etc.
- Assist in the coordination and communication with other facilities.
- Be responsible for some tasks associated with basic finance (payments, receipts, petty cash…)
- Ensure effective reception service, picking up calls and ensuring messages are promptly communicated and welcoming visitors.
- Take and follow up appointments.
- Ensure timely dispatch of documents to other departments and facilities and by post.
- Give the necessary support and assistance for the organisation of and attend to important meetings/ workshops such as trainings and strategic planning.
Qualifications:
- Professional qualifications and or experience in Administration or Management and Basic Accounting
- At least 3 years’ work experience in Administration/ Management
- Proficient in MS Word, Excel, PowerPoint and E-mail
