Adecco is an International HR and Consultancy firm. Our client, an NGO, is looking for an Administrative assistant.
Reporting to the head of Administration through a variety of tasks related to organization and communication, the successful candidate will provide administrative support to ensure efficient operation of the office and support the District Coordinators and their team to spend 80% of their time to role the operations.
The admin job scope includes communicating via phone and email ensuring that all administrative duties are completed accurately and delivered with high quality and in a timely manner.
Main Responsibilities:
- Organise and schedule network meetings and appointments
- Maintain contact lists
- Emailing/typing/communications/filing/office organization/Take & Administer minutes of meeting (Secretarial Works)
- Facilitating Government aid and procedures based on beneficiary’s needs
- Produce and distribute correspondence memos, letters and forms
- Assist District Coordinators in all request
- Develop and maintain a filing system
- Coordinate meeting & Events
- Take & administer minutes of meetings
- Attend meeting as and when required
- Cross fertilize relevant matters /best practices to all 5 regions
- Submit and reconcile expense reports
- Provide general support to the team
- Have the capacity to replace the District Coordinator’s and Social Worker’s when on holidays /Leave.
Qualification
Candidate profile:
- Proven admin or assistant experience
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to multi-task and priorities work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills in French and English
- Strong organisational and planning skills
- Proficiency in MS Office
